Define the subject line of your sharing e-mails
As we say, scan-snap-share, we focus on making each step easy. The definition of the sharing mail is one of those timesaving possibilities.
When you share a Cargosnap file, the recipient will receive an email message making them aware of the file you are sharing. By default, this message will have a subject like:
John Doe has shared a CargoSnap with you: 123456
This may cover the matter, but hey, there may be more (relevant) information for the recipient you want to make them aware of. Think of data such as your company name, a field you added, or a formfield you filled in on the file. It's your data and it is highly relevant.
You can set the default subject line as an Admin (LicenseAdmin or SuperAdmin). Do so by going to your "Teams" page, select the Team for which you want to set the default subject, and then open the "Default sharing settings":
In the subject, you can now enter the text you would like to appear in the share subject line. This subject line will be presented to all users in your team when they create a share (and can be manually overridden), and will also be used should you generate a share using an API.
Of course, having a static line there may save time, but it gets really cool when you are able to use data from the file you are sharing in the shared text. You can do so using these 'curly bracket' fields (the ### should be replaced by the relevant fields of these fields):
-
is the file reference given
-
kb-article-module-5 logged on user (for the UI)
-
logged on users email
-
{hubspot_owner_id=1428756971} registered company name of the sharing company
-
refers to a specific form field, where you need to replace the ### with the ID of the field. You can find this ID in the detailed settings part of each form field.
-
for your fields (this ID is also found in the details of that field)
So, for example:
kb-article-module-5 at {hubspot_owner_id=1428756971} shared file . This concerns a shipment
Will translate into something like:
"John Doe at TerminalCo shared file 4321. This concerns a Container shipment."
Hope you find this pretty neat!
